Poster Presentation Information & Instructions

Please read all information carefully before creating your poster and attending the conference.

Poster Size and Layout

Poster boards measure 92 inches (233.68 cm) wide by 42 inches (106.68 cm) high in landscape (horizontal) format. Posters may not extend outside the designated space assigned.

Poster Presentation Rules and Guidelines
  • Poster presenters must register for the conference. Abstract submission fees do not include registration.
  • The first author is the presenting author.
  • A programming confirmation will be sent via email to the first author only approximately five weeks prior to the conference. Confirmation will include the presentation date, time, poster board number and program number.
  • All presenters must have informed consent compliance with human subjects and applicable HIPAA regulation to present data and health information, including photos.
  • Authors must disclose on their poster whether the abstract has been previously published. If published, the citation(s) must appear on the poster.
  • Presenters must wear their conference registration badge at all times during conference hours.
Poster Mounting, Presentation and Removal Schedule
  • Photography or video capture of any poster or presentation is strictly prohibited.
  • Poster boards will be numbered. Take care to mount posters on the appropriate board. Presenters may not move board numbers or posters from their pre-assigned board.
  • Authors are expected to be present at their poster during the specified poster session as indicated in the programming confirmation email and conference program.
  • Posters not removed from the boards by the designated time will be disposed of at the conclusion of the poster session.
  • Pushpins will be provided.
  • Audiovisual equipment is not permitted in the poster board area.
Designing an Effective Poster

Effective poster design requires careful thought and advance preparation. The following tips will help in preparing an attractive poster.

  • Identify two to three principal messages to convey. Choose a title that captures the main point.
  • Prepare a heading at the top of the poster indicating the abstract title, authors and affiliations.
  • Lettering should be at least 1 inch (2.54 cm) high.
  • Summarize current research in graphic form whenever possible. Charts, tables, graphs, pictures and other visuals can help minimize the amount of text needed.
  • Arrange materials in columns and use white space to help direct readers logically through the poster.
  • Laminated poster paper, fabric or cardboard may be used for the poster allowing for space to mount it on the poster board with pushpins.
  • Posters should be self-explanatory but not comprehensive. Presenters will supplement and elaborate on the research topic during conversations with other attendees.
Tips for Illustrations
  • Presentations must be readable from distances of at least 3 feet (90 cm). Keep visuals simple and clear.
  • Provide information in smaller type below the heading.
  • Brief details of methodology should be placed at the end of the legend.
  • Use of color to add emphasis.
  • Do not write or paint directly on the poster boards.
Traveling with Posters

Consider bringing a smaller version of your poster on 8.5 inch- by 11-inch size paper and a copy of the poster on a USB thumb drive so that it can be reprinted if needed. Many airlines now require that poster tubes be checked rather than brought as carry-on luggage. Please check with your airline prior to traveling.
