Visitors traveling to the U.S. from all countries (including Visa Waiver Program countries) are required to register personal details online at least three  days in advance of travel. The Department of Homeland Security (DHS) Electronic System for Travel Authorization (ESTA),a free, automated system used to determine the eligibility of visitors to travel to the U.S., collects the same information as the paper I-94W form. ESTA applications may be submitted at any time prior to travel. An ESTA authorization generally will be valid for up to two years. DHS recommends that travelers submit an ESTA application as soon as they begin travel plans. Learn more about ESTA.

If your visa is denied, send APS a registration cancellation request by Tuesday, May 31. We are not able to refund cancellation requests made after May 31. Send all cancellation requests to the APS Office of Scientific Meetings.

Visas

We advise scientists traveling to the U.S. to apply for a visa as early as possible. Visit the U.S. Department of State (State Department) or the National Academies of Science International Visitors Office websites for more information. See estimated visa appointment wait times.

Tips applying for a visa:

  • Ask your department chair, professor, mentor, etc. for a letter of invitation to attend the meeting. For security reasons, letters of invitation can only be sent to individuals who have registered for the meeting. APS is not able to provide invitation letters for guests or other travelers accompanying the registered meeting attendee. Contact the APS Office of Scientific Meetings for more information and to request an invitation letter. (Not required for Visa Waiver Program countries.)
  • Apply for visa at least three months in advance. For countries that are on the State Sponsors of Terrorism List, the State Department suggests applying for a visa eight months in advance.
  • Provide your entire trip itinerary, including travel to any countries other than the U. S., at the time of visa application.
  • Specify if completion of travel plans is contingent upon early approval of the visa.
  • Provide proof of scientific status.
  • Provide meeting details and letter of invitation.
  • Provide evidence that you are intending to return to your country of residence, including:
    • family ties in current country of residence,
    • property ownership,
    • bank account, and/or
    • an employment contract or statement from employer showing that position will continue after the dates of the meeting.
